Data We Collect
Payment information
Payments are processed entirely by Stripe. We never receive, see, or store your card number, CVV, or bank details. Stripe transmits to us only a confirmation that payment succeeded and the email address you used at checkout.
Order email address
The email address you provide during Stripe checkout. Used to identify your order and follow up on it.
System specification form
For BIOS and overclocking services, after payment you fill out a form with:
- CPU, GPU, RAM, motherboard, cooler, PSU details
- PCPartPicker list URL (optional)
- Notes or goals (optional)
- Your email address and Discord username
- A SceWin
.txtexport file (BIOS orders only, optional)
This data is transmitted directly to a private Discord channel we control via Discord's webhook API. It is used solely to build and deliver your order. It is not used for marketing.
Analytics
We use Cloudflare Web Analytics, a privacy-first analytics tool. It does not use cookies, does not fingerprint browsers, and does not collect any personal identifiers. It provides us with aggregated, anonymous statistics such as page view counts, browser types, and country-level traffic data. No personal information is involved.
Web server logs
As part of normal web hosting, Cloudflare processes IP addresses and HTTP request data to serve pages and protect against abuse. This is standard infrastructure operation; Cloudflare does not retain logs of individual visitors on our behalf.
Legal Basis for Processing (GDPR)
If you are located in the European Economic Area (EEA) or United Kingdom, we rely on the following legal bases under Article 6 of the GDPR:
- Contract performance (Art. 6(1)(b)): Processing your order email and system specs is necessary to fulfil the service you purchased.
- Legitimate interests (Art. 6(1)(f)): Retaining order records in our private Discord channel for a reasonable period allows us to provide post-purchase support and resolve disputes. This does not override your rights.
- Legal obligation (Art. 6(1)(c)): Stripe retains transaction records as required by financial regulations.
Third-Party Data Processors
We use the following third-party services that process personal data on our behalf. We do not sell your data to any of them for advertising purposes.
| Processor | Purpose | Data involved | Location |
|---|---|---|---|
| Stripe, Inc. | Payment processing | Payment card data, order email, transaction records | USA |
| Discord, Inc. | Private order channel — receiving form submissions via webhook | System specs, email, Discord username, uploaded .txt files | USA |
| Cloudflare, Inc. | Website hosting, CDN, DDoS protection, analytics | IP addresses (infrastructure only), aggregated anonymous analytics | USA (global CDN) |
| Google LLC | Web font delivery (Google Fonts) | IP address, browser user-agent (standard HTTP request data only — no account or cookie data) | USA / global |
Each processor operates under its own privacy policy: Stripe Privacy Policy · Discord Privacy Policy · Cloudflare Privacy Policy · Google Privacy Policy.
International Data Transfers
Vortex FPS is based in the United States. If you are accessing our services from the European Economic Area, United Kingdom, or another jurisdiction with data transfer restrictions, please be aware that your personal data will be transferred to and processed in the United States.
Stripe, Discord, and Cloudflare are each certified under the EU-U.S. Data Privacy Framework (and its UK and Swiss extensions), which the European Commission recognizes as a valid transfer mechanism. Where that certification doesn't apply, these providers fall back to Standard Contractual Clauses (SCCs). By using our services, you acknowledge that your data may be processed in the United States under these safeguards.
Data Retention
- Payment records: Retained by Stripe in accordance with their policies and applicable financial regulations (typically 7 years).
- Order specs (Discord): Retained in our private Discord channel for up to 12 months after order completion, then deleted. You may request earlier deletion at any time.
- Analytics data: Aggregated and anonymous — no personal data is retained.
